When You buy a Flight Pass to travel on Gulf Air flights, You enter into a contract with Optiontown with its registered address at Mespil Business Center, Sussex Road, Dublin 4, Ireland, hereinafter referred to as "Optiontown" or "OT" and Gulf Air B.S.C. (c) with its registered address at Building 122, Road 2403, Block 224, Muharraq, Kingdom of Bahrain, hereinafter referred to as "Gulf Air" or "GF".
Your ticketed booking is governed by Gulf Air's General Conditions of Carriage, the conditions in your ticket or itinerary and receipt, any tariffs which apply and applicable regulations.
Please note that these Flight Pass Rules, together with the Optiontown Terms of Service constitute the entire agreement between You and Optiontown, together 'the Agreement'. In the event of any contradiction between the Optiontown Terms of Service and these Flight Pass Rules, these Flight Pass Rules shall prevail.
DEFINITIONS
"Advance Booking" refers to the minimum number of days or hours before your Journey that are required for you to make a booking with Flight Pass.
"Cabin" or "Travel Class" refers to the travel class, e.g. Economy Class, Business Class.
"Customer" refers to one or more persons that have bought a Flight Pass or one or more of the OT Services.
"Passengers(s)" refers to the persons who can book and fly by redeeming Flight Pass.
"Fare Type" refers to the type of fare selected for Flight Pass, namely, 'Lite', 'Smart' and 'Flex' in Economy cabin and namely, 'Business Smart' and 'Business Flex' in Business cabin. Different amenities and services are available for different fare types, such as flight change, flight cancellation, baggage allowance, etc.
"Flight" or "Flights" refers to the flights operated, designated or any combination thereof by Gulf Air.
"Number of Flights" refers to the number of one-way Flights you can take between selected destinations. Two flights are needed for one Passenger to fly a round-trip between two selected destinations. One flight is needed for one Passenger to fly a one-way trip between two selected destinations. Both One-way and Round-Trip travel are permitted with Flight Pass.
"Flight Pass" refers to the Flight Pass provided by Optiontown in collaboration with Gulf Air under the Flight Pass Service to its Customers which makes them eligible to book Flights which fulfill the criteria mentioned in these Flight Pass Rules.
"Journey" refers to a segment of Flights that may have more than one Flight (like a segment may have both outbound and return Flights or may have connecting Flights).
"Optiontown" refers to the brand name and "www.optiontown.com" refers to the domain name and website of OT.
"OT Services" comprises of the various services offered by OT, wherein each such service is in general referred to as "OT Service". Flight Pass is one of the OT Services.
"Tax Payment Option" refers to the option to include or not include the taxes in the Flight Pass. The terms "Taxes" or "Tax", or "taxes and fees", here refer to all the taxes, fees and surcharges levied by government, airport and other third-parties.
"Travel Period" refers to the time period You can depart on flights by booking a flight with your Flight Pass. All of your flights can only depart during the Travel Period.
"Travel Date Restrictions" or "Blackout Dates" refers to travel dates for which You cannot book a flight with your Flight Pass. Such travel date restrictions may only apply to some or all of the destinations included in your Travel Zone and will be marked clearly in your Flight Pass.
"Trip Type" refers to the type of booking (one-way, round-trip, etc.) allowed for a Flight Pass.
"Travel Zone" or "Zone" refers to collection of one or more origin and destination airport pairs for which Flight Pass is valid.
"You" refers to a Customer, or a Passenger whose name has been added to a Flight Pass.
CONDITIONS |
| 1. | Purchase of a Flight Pass and subsequent exchange of Flight Pass for ticketed bookings can only be done through the Optiontown website. You will NOT be able to make changes to your Flight Pass, or any flights booked using your Flight Pass, through Gulf Air's website, call centers or airport ticket offices. |
| 2. | Flight Pass Purchase: Upon completing your Flight Pass purchase:
| a. | You can use your Flight Pass to make flight bookings, subject to your Trip Type, from/to any airport within your selected Travel Zone as will be listed in the departure and arrival airports in your Flight Pass, as given below. A one-way booking will consume 1 Flight at a time per passenger, and a round trip booking will consume 2 Flights at a time per passenger. | | b. | Trip Type - You can use your Flight Pass to book flight bookings, subject to your Trip Type, from/to any airport within your selected travel zone as will be listed in the departure and arrival airports in your Flight Pass, as given below. A one-way booking will consume 1 Flight at a time per passenger, and a round trip booking will consume 2 Flights at a time per passenger.
| • | One way and Round trip - Both one way and round trip bookings are permitted with this option. | | • | Round trip only - Only round trip bookings are permitted with this option. One way booking is not permitted. |
| | c. | Passenger Name Addition - One passenger must be added at the time of Flight Pass purchase. You can add the remaining Passengers until the maximum limit of Passengers of your Flight Pass is reached. | | d. | Infants and Children - Flight Pass price is non-discountable for children. You can add infants on the booking after the booking is created by paying the appropriate fares, fees and taxes. To add Infants without seat, You may do so by contacting the Optiontown Customer Care team. If You want to reserve a seat for an infant, You may use your Flight Pass credit to book the ticket by having the infant listed as one of the approved Passengers in your Flight Pass. | | e. | Special Service Requests (SSRs) - You can add Special Service Requests (SSRs) to your flight, such as for special meals, baggage, special requests like wheel chair, disability assistance or others, by contacting Gulf Air directly. Please note that Gulf Air may levy an additional charge for these additional service requests as per its regular policy. | | f. | Amenities - You will receive all standard services and amenities associated with your selected cabin in your designated Flight which may be subject to change as per regular GF operating procedures; | | g. | Baggage Allowance - You will receive the following baggage allowance when you make a booking under Flight Pass:
| • | Carry-on Baggage - 1 handbag up to 7 kg with maximum dimensions 55cm x 40cm x 23cm. | | • | Check-in Baggage Allowance.

| • | The baggage allowance will be applicable as per Gulf Air current baggage policy which may be changed at any time and will depend on the aircraft type as well. You may review the current Gulf Air baggage policy here. |

| 3. | Flight Pass conditions
| a. | Flight Pass Change
| • | You may change any one or more of the following Flight Pass parameters as given below, Increase Number of Flights, Extend/Postpone/Prepone the Travel Period, Reduce Advance Booking, Reduce Travel Date Restrictions, Upgrade Trip Type, Change Travel Zone etc. by paying the applicable charges. | | • | Nominal change fees and fare difference (if applicable) must be paid through the Optiontown website only. Changes apply to all unused Flights in your Flight Pass. It is not possible to change a portion of the Flights in your Flight Pass. Changes can be done via the Manage My Pass section after login to your Flight Pass account, where You will be able to view total charges before making any change. | | • | Passenger Name Correction - Once You have added a name to your Flight Pass, You can only edit a maximum of 3 misspelled characters in your name by submitting proof of Identification. You must ensure that You have added the correct name on the Flight Pass as it appears in the Passenger Passport. Other changes for Passenger name may be allowed subject to paying the applicable fees. |
| | b. | Flight Pass is non-refundable and non-cancellable once purchased, under all circumstances. | | c. | No portion of the total Flight Pass price will be refunded in case of any unused Flight credits. However, if and only if, Gulf Air stops flying to a destination or reduces the frequency of Flights drastically or a force majeure event occurs, and You have unused (or unflown) flight credits for that destination, then You may request refund for only those unused Flight Pass credits. For all refunds, Gulf Air will be responsible to refund the amount, however, You will need to contact Optiontown Customer Care via email at customercare@optiontown.com to submit your refund request. Optiontown will contact Gulf Air to process the refund and once Gulf Air approves the refund amount, the refund shall be processed. Notwithstanding any other provision in the Agreement, if the payment amount related to a Flight Pass has been transferred by Optiontown to Gulf Air, then the complete financial responsibility for refund of total paid amount for said Flight Pass rests solely on Gulf Air, and Optiontown does not have any responsibility for the refund amount. Optiontown shall not be responsible for the refund amount. | | d. | Flight Pass is non-transferable, and cannot be sold or exchanged for cash. The Journey entitlement under a Flight Pass cannot be altered except as notified otherwise by Optiontown. | | e. | Flight tickets booked using Flight Pass are NON refundable in all circumstances. In all circumstances, the Flight Pass remains Non-refundable except as mentioned above. | | f. | Flight disruptions: In case a Flight is cancelled or impacted by an irregular operation as determined by Gulf Air, normal GF policies will be applicable. |

| 4. | Flight Pass booking conditions
| a. | Seat Availability for Flight Booking - You can book flights with your Flight Pass subject to terms of your Flight Pass and subject to seat availability in any booking class in the designated cabin up to the last seat available. | | b. | Manage My Booking - For Flight change, Flight cancellation and No show:
| • | Free Flight Change/ Cancellation/ No Show Credit Allowance - Based on your selected Flight Pass, You may be allowed to change or cancel a certain Number of Flights at no cost subject to the Fare Type of the purchased Flight Pass, as reflected below:

| | • | The number of free allowances are calculated based on the percentage value mentioned above multiplied by the total Number of Flights in the purchased Flight Pass (and rounded down to the lower integer). | | • | Fees for Flight Change/ Flight Cancellation after Free Allowance and Fees for No Show Credit Reinstatement - After the free allowance, the costs for Flight change and Flight cancellation for additional flights are set out below. The no show credit reinstatement fee is also mentioned below. All fees are applicable per Passenger per Flight. | | • | Fare Difference for Flight Change - If the new flight is outside the Flight Pass parameters an additional fare difference may be applicable, in addition to the change fee and charges. | | • | Passenger name can be changed on a ticket to any other listed Passenger name in the Flight Pass. | | • | Flight change and cancellation must be requested at least 1 hour before flight departure. Any flight change/ cancellation request to a Flight booking after this time limit will incur an additional fee of USD 50. | | • | No show Flight credits can be added back to Flight Pass only up to 7 days after the Flight departure and must be done by contacting Optiontown Customer Care and after payment of applicable charges. |

| 5. | Tax Payment Option Conditions
| a. | This option offers a choice to either include or not include the taxes in the Flight Pass. Two choices are offered.
| • | Tax Included - Under this option, the taxes are included in the Flight Pass price. So, under normal circumstances, you would not need to pay for taxes at the time of flight booking (exceptions apply). Therefore, the Flight Pass price includes the base fare, airline surcharges including fuel surcharge and all taxes and fees levied by government and third parties. | | • | Tax Not Included - Under this option, the taxes are not included in the Flight Pass and You need to pay for taxes, fees and surcharges levied by government, airport and other third-parties at the time of flight booking. The Flight Pass price only includes the base fare and airline surcharges including fuel surcharge. |
| | b. | Exceptions to the above condition : In both of the above choices, the following exceptions apply.
| • | In the event if any of the taxes and fees increase after they have been paid for, then you are liable to pay for additional taxes and fees amount before flight departure. | | • | In the event if any of the taxes and fees increase due to any flight changes made to your booking, then you are liable to pay for additional taxes and fees at the time of flight change. |
| | c. | if you choose the "Tax Not Included" option at the time of Flight Pass purchase, then later on you can upgrade to "Tax Included" through the Manage My Pass feature by paying the applicable taxes and fees. | | d. | All Flight Passes sold on or before 31-October-2023 had Tax Included option selected by default. | |
| 6. | If You experience any technical difficulty during Flight booking on the website, You must contact the Optiontown helpdesk via email (customercare@optiontown.com) before the expiry of your respective deadline subject to your Flight Pass terms. Failing to contact the Optiontown helpdesk before the deadline will result in losing the relevant Flight booking, for which neither Gulf Air nor Optiontown shall be responsible. |
| 7. | You agree and understand that the real time price of a Flight may be lower or higher than the regular price displayed, hence the savings may be more or less than the displayed amount. You agree and confirm unconditionally that You have taken the informed decision with the clear understanding and knowledge of the above. You irrevocably and unconditionally agree that You will not hold Optiontown and/or Gulf Air responsible in any manner whatsoever for any difference in regular prices and/or savings displayed and You cannot cancel the Flight Pass due to this. |
| 8. | In addition, your bank may charge additional fees due to bank charges/ conversion charges/ credit charges etc. as per their policy. Service fees may apply for changes to your Flight Pass or for changes to your bookings. |
| 9. | Flight Pass prices may vary across different Customers whether booked on the same flight and having the same parameters. |
| 10. | Flight Pass bookings are based on last seat availability. You understand that if a Flight is fully booked, and therefore no vacant seats are available, You will not be able to make a booking on that Flight using your Flight Pass. |
| 11. | Any specific policies and rules, if applicable to Gulf Air, will be displayed and incorporated within these Flight Pass Rules and will accordingly apply to You. |
| 12. | The total Flight Pass amount paid will appear in the name of Optiontown. Customers agree that they cannot challenge or dispute a charge if the name appearing on their credit card statement is different than the one mentioned above. |
| 13. | If You have purchased one or more ancillary services with Gulf Air and if You would like to change your Flight booked under Flight Pass after purchasing those ancillary services, then You must contact Gulf Air to rebook those ancillary services on your new flight which will be subject to availability on the new Flight. Gulf Air does not guarantee that these ancillary services will be available on the new Flight. |
| 14. | To the extent permissible by relevant local law or regulation, the Agreement shall be governed by and construed in accordance with laws of New York, USA. Optiontown, Gulf Air and each Customer submits to the non-exclusive jurisdiction of the courts in New York, USA to resolve any disputes that may arise out of the Agreement. |
| 15. | Any provision of the Agreement, if declared void or unenforceable by any competent authority or court shall, to the extent of such invalidity or unenforceability, be deemed severable and shall not affect the other provisions remaining which shall continue unaffected. |
| 16. | Optiontown accepts no responsibility for damage or loss resulting from misdirected or incomplete entries arising from computer malfunctions, viruses, bugs or other such causes. Optiontown is in no way liable for reproduction or indirect access via any third party web site or home page access which misstates or omits any of the information or terms and conditions connected with Flight Pass. |
| 17. | After the purchase of your Flight Pass, in the interest of your security and fraud prevention, You may be contacted by Optiontown and/or Gulf Air to request certain documents for verification purposes and in case those documents are not provided then your Flight Pass purchase may be put on hold or canceled including any booked Flights. Optiontown is the sole official partner of Gulf Air to provide Flight Pass and is a secure channel that is capable of receiving Customer documents for security and verification purposes. |
| 18. | Gulf Air may also ask You to provide payment or other information at the check-in counter for verification purposes. If the requested documents are not provided or Gulf Air is unable to verify You as the Customer or your payment information, then Gulf Air may deny You boarding at your own risk and all your future tickets may be canceled. In this regard, Optiontown and Gulf Air will have no liability to any Customer as it is wholly up to the Customer to provide the documents requested by Gulf Air and Optiontown. |
| 19. | Optiontown reserves the right to change these Flight Pass Rules and the Optiontown Terms of Service at any time. |
